Archiving and Digital Preservation Policy

TAUTAN: Jurnal Ilmu-Ilmu Sosial dan Humaniora is committed to maintaining the long-term availability, accessibility, integrity, and preservation of all scholarly content published by the journal. Digital preservation is an essential part of the journal's responsibility to maintain a reliable, accessible, and sustainable scholarly record.

1. Digital Preservation Commitment

TAUTAN seeks to ensure that published articles remain accessible over the long term, including in the event of technical failure, website disruption, server migration, or changes in publishing technology.

The journal's preservation scope includes published article files, bibliographic metadata, issue and volume information, supplementary materials, and other relevant publication records, as applicable.

2. Regular Backup

The journal management team seeks to maintain regular backups of its Open Journal Systems (OJS) installation and publication data. Where implemented, the backup process may include:

  • The journal database;
  • Published article files;
  • Article bibliographic metadata;
  • Issue and volume information;
  • Journal configuration data;
  • Uploaded supplementary files; and
  • Other essential digital publication records.

Backups are intended to reduce the risk of permanent data loss caused by server failure, human error, cybersecurity incidents, or other unexpected technical problems. Backup arrangements depend on the journal's technical infrastructure and hosting services.

3. Open Journal Systems Preservation

TAUTAN uses Open Journal Systems (OJS) as its journal management and publishing platform. Published articles and their metadata are managed through the journal's OJS-based publishing system.

The journal management team seeks to maintain the integrity and accessibility of published content through appropriate system maintenance, data management, and technical checks, as applicable.

4. PKP Preservation Network

TAUTAN seeks to support long-term digital preservation through the preservation facilities available for Open Journal Systems, including the PKP Preservation Network (PKP PN), where supported and properly configured.

The journal management team will verify the journal's eligibility, technical configuration, registration, and preservation status before claiming that its content is preserved through PKP PN. A claim of successful preservation will only be made after the relevant status has been confirmed.

5. DOI and Metadata Preservation

Published articles are managed with bibliographic metadata to support identification, discovery, citation, and indexing. Where assigned, Digital Object Identifiers (DOIs) are used to facilitate persistent identification and access to published articles.

The journal seeks to maintain accurate article metadata, including titles, author names, affiliations, publication dates, abstracts, and reference information, as applicable.

When corrections, retractions, or other post-publication updates occur, relevant article records and metadata will be updated as necessary and technically possible to preserve the accuracy and integrity of the scholarly record.

6. Preservation During System Migration

If TAUTAN changes its hosting provider, upgrades its publishing platform, or migrates to a new system, reasonable measures will be taken to preserve the following records, where applicable:

  • Published articles and full-text files;
  • DOI information and related records;
  • Article bibliographic metadata;
  • Issue and volume records;
  • Author and affiliation information;
  • Supplementary files; and
  • Other essential publication data.

Migration procedures should include appropriate backups, data transfer, and verification to minimize the risk of content loss or corruption.

7. Access Continuity

In the event of a temporary website or server disruption, the journal management team will make reasonable efforts, within its technical capabilities, to restore access to published content using available backups or other appropriate recovery measures.

Published articles are intended to remain part of the permanent scholarly record and should not be removed solely because of technical, administrative, or platform changes.

The removal of published content will be considered only in exceptional circumstances and in accordance with the journal's Correction, Retraction, and Expression of Concern Policy.

8. File Integrity

The editorial team seeks to monitor the readability and accessibility of published files and the accuracy of journal metadata. Technical checks may be conducted when necessary or as part of routine journal maintenance.

Where necessary, digital files may be migrated to appropriate formats to maintain accessibility, provided that such migration does not compromise the accuracy or integrity of the published scholarly record.

9. Responsibility for Digital Preservation

The Editor-in-Chief and journal management team are responsible for overseeing the implementation and periodic review of this digital preservation policy, in coordination with the technical administrator, hosting provider, or other relevant service providers where necessary.

This policy may be reviewed periodically to reflect technological developments, the journal's technical capabilities, and recognized practices in scholarly digital preservation.

Through appropriate digital preservation and recovery measures, the journal seeks to maintain the long-term availability of its articles and the reliability of the scholarly record.
