SCHOLARIA: Jurnal Pendidikan dan Sains is committed to ensuring the long-term availability, accessibility, integrity, and preservation of all scholarly content published by the journal. Digital preservation is an important part of the journal’s responsibility to maintain a reliable and sustainable scholarly record.

1. Digital Preservation Commitment

SCHOLARIA seeks to ensure that published articles remain accessible over the long term, even in the event of technical failure, website disruption, server migration, or changes in publishing technology.

The journal preserves published content, including article files, bibliographic metadata, issue information, and other relevant publication records.

2. Regular Backup

The journal maintains regular backups of its Open Journal Systems (OJS) installation and publication data. The backup process covers, where applicable:

  • Journal database;
  • Published article files;
  • Article metadata;
  • Issue and volume information;
  • Journal configuration data;
  • Uploaded supplementary files; and
  • Other essential digital publication records.

Backups are maintained to reduce the risk of permanent data loss caused by server failure, human error, cybersecurity incidents, or other unexpected technical problems.

3. Open Journal Systems Preservation

SCHOLARIA uses Open Journal Systems (OJS) as its journal management and publishing platform. Published articles and their metadata are maintained within the journal’s OJS-based digital publishing infrastructure.

The journal periodically reviews the integrity and accessibility of its published content and undertakes system maintenance when necessary.

4. PKP Preservation Network

SCHOLARIA has installed and enabled the PKP Preservation Network (PKP PN) integration within its Open Journal Systems environment as part of its effort to strengthen long-term digital preservation.

The journal is currently completing the technical registration and deposit process required for preservation through the PKP Preservation Network. The journal will update this policy when successful deposit and preservation status have been confirmed by the network.

SCHOLARIA will not claim that its content has been preserved through PKP PN until successful deposits have been verified.

5. DOI and Metadata Preservation

Published articles are assigned persistent bibliographic metadata and, where applicable, Digital Object Identifiers (DOIs).

Metadata associated with published articles is maintained to support identification, citation, discoverability, and long-term scholarly access.

When corrections, retractions, or other post-publication updates occur, relevant metadata will be updated as necessary to maintain the integrity of the scholarly record.

6. Preservation During System Migration

If the journal changes hosting providers, upgrades its publishing platform, or migrates to a new system, reasonable measures will be taken to preserve:

  • Published articles;
  • DOI information;
  • Article metadata;
  • Issue and volume records;
  • Author information;
  • Supplementary files; and
  • Other essential publication data.

Migration procedures should include backup and verification to minimize the risk of content loss.

7. Access Continuity

In the event of temporary website or server disruption, the journal will make reasonable efforts to restore access to published content from the most recent verified backup.

Published articles are intended to remain part of the permanent scholarly record and should not be removed solely because of technical or administrative changes.

Removal of published content will only occur in exceptional circumstances and in accordance with the journal’s Correction, Retraction, and Expression of Concern Policy.

8. File Integrity

The editorial team periodically monitors published files and journal metadata to ensure that they remain readable and accessible.

When necessary, digital files may be migrated to appropriate formats to maintain accessibility while preserving the integrity of the published scholarly record.

9. Responsibility for Digital Preservation

The Editor-in-Chief and journal management team are responsible for overseeing the implementation of this digital preservation policy, in coordination with the journal’s technical administrator or hosting provider where necessary.

The policy will be reviewed periodically to reflect technological developments and recognized best practices in scholarly digital preservation.
